INVOER VAN NIEUWE BESCHRIJVINGEN[edit | edit source]

More info

Lidmaatschappen[edit | edit source]

Drager[edit | edit source]

Inputting languages is performed in two steps:

  1. Select the language type (source language, mediating language, or target language).
  2. Enter a language code.

Language codes can be selected via the search button next to the language field. They can also be consulted via Cataloguing Management Functions > Language Codes.

When inputting more than one language of the same type (e.g. two target languages), both languages are entered into the same field. This is done by selecting one language after the other, or by entering both codes into the same field, separated by a semi-colon (;) and a space.

Titel[edit | edit source]

Types of titles[edit | edit source]

Main Title[edit | edit source]
Title field In the title field, the corresponding main title is recorded. The system is programmed to filter meaningless articles or words at the beginning of the title depending on the indicated language. If the programme does not make the correct choice, then the underscore ('_') can be placed manually just before the word on which the title needs to be sorted. Only one underscore per title is considered.
Extension (empty)
Type 'Hoofdtitel: ondertitel' [Main title: subtitle]
Language The language in which the title is composed. For multilingual titles, the language of the first part of the title is chosen. This language is needed to allow the system to filter meaningless articles or words at the beginning of a title.
Source Title page, Document or External
Grouping Title[edit | edit source]
Title field In the title field, the corresponding grouping title is recorded.
Extension (empty)
Type 'Verzameltitel' [Grouping title]
Language The language in which the title is composed. For multilingual titles, the language of the first part of the title is chosen. This language is needed to allow the system to filter meaningless articles or words at the beginning of a title.
Source External
Uniform Title[edit | edit source]
Title field In the title field, the corresponding uniform title is recorded. These titles may be looked up in the authority files (search key: titles). It is always the main form that needs to be selected for these titles.
Extension (empty)
Type 'Uniforme titel' [Uniform title]
Language Language of the uniform title. For bible books and liturgical works this is always Latin.

Filing Title[edit | edit source]
Title field No problems arise in recording the filing title since all that is needed is a code. These code depends on the type of publication:

<ALM>: almanacs
<AUC>: auction catalogues
<ORD>: government publications
<PER>: periodicals
<THE>: theses

Extension The exact date of issue is recorded in the extension field, in the following way: 4 digits for the year, comma, 2 digits for the month, comma, 2 digits for the day. No spaces are added after the comma's. If the day is unknown, the last comma and last 2 digits are dropped. If the month, too, is unknown, these digits and comma are dropped as well. If the day is known but not the month, then the month is recorded with a double zero. If the year is unknown but we do know a month or day, the same system is adopted.

Examples

9 nov. 1672 1672,11,09
feb. 1671 1671,02
12 xx 1671 1671,00,12
9 nov. xxxx 0000,11,09
xx nov. xxxx 0000,11
12 xx 16xx 0000,00,12

For almanacs, it is impossible to give an exact date. Therefore the extension field for almanacs contains only the year, and may be followed by the city for which the almanac was meant. E.g. '1785 Brugge' or simply '1613'
For auctions that continued on multiple days, the first day of the auction is selected for the filing title.

Type 'Sorteertitel' [Filing title]
Language 'Mul'

Parallel Title[edit | edit source]
Title field In the title field, the corresponding parallel title is recorded. A new block of title fields is created for each parallel title.
Extension (empty)
Type 'Paralleltitel' [Parallel title]
Language The language in which the title is composed. For multilingual titles, the language of the first part of the title is chosen. This language is needed to allow the system to filter meaningless articles or words at the beginning of a title.
Source Title page. Parallel titles found elsewhere in the document or from external sources are not recorded in the bibliographical description, since a parallel title, as the name already suggest, contains little additional information.

Additional information[edit | edit source]

Auteur(s)[edit | edit source]

Cornelius i.p.v. Cornelii of Cornelium).

  • If the record is frozen, unfreeze it by checking 'Bevries/ontdooi dit record' [freeze/unfreeze this record] and clicking on 'registreer' [register]
  • Under 'Lidmaatschappen' [Memberships]:
    • leave everything as is (do NOT uncheck anything)
    • check STCV if this is not already checked
  • Under 'Relaties' [Relations]:
    • leave everything as is
    • add extra relations when possible
  • Main form:
  • Reference terms:
    • leave as is
    • select the one you need
    • create a new one if needed (see transcription rules + enter 'STCV' for lidmaatschap [membership]) door bij ‘Hoofdvormen’ te klikken op ‘Extra verwijzing(en)’.
  • Biographical scope note: add extra information when possible; otherwise leave as is
  • click 'registreer' [register]
  • check 'Bevries/ontdooi dit record' [freeze/unfreeze this record] and, again, click on 'registreer' [register]

If you can't find the right authority record, you have to create a new one.

Corporatieve auteurs[edit | edit source]

Using an existing authority record[edit | edit source]

  • Find the corporate author you need in the authority records, click on the specific record and select 'bewerk' [edit]
  • Under 'Relaties' [Relations]: leave everything as is
  • Main form:
  • Reference terms:
    • leave as is
    • select the one you need
    • create a new one if needed (follow the common transcription rules + enter 'STCV' for lidmaatschap [membership])
  • click 'registreer' [register]
  • check 'Bevries/ontdooi dit record' [freeze/unfreeze this record] and, again, click on 'registreer' [register]

Creating a new authority record.

Editie[edit | edit source]

Impressum[edit | edit source]

Printer[edit | edit source]

  • Find the person you need in the authority records, make sure it is an STCV-record, click on the specific record and select 'bewerk' [edit]
  • Unfreeze the record by checking 'Bevries/ontdooi dit record' [freeze/unfreeze this record] and clicking on 'registreer' [register]
  • Under 'Lidmaatschappen' [Memberships]:

  • Main form:
  • Reference terms:
    • leave as is
    • select the one you need
    • create a new one if needed (see transcription rules + enter 'STCV' for lidmaatschap [membership])
  • Scope notes:
    • Biography: add extra bibliographical references when relevant; otherwise leave as is
    • Address: place where the printer/publisher/bookseller was active
      • check whether the imprint on your copy offers additional information
      • if so, add it (e.g. add year to 'Antwerpen 1624-1628, 1630, 1633-1645'); if not, leave as is
    • Sign: e.g. 'in de rode leeuw'; this often offers a clue to a printer's device
      • check whether the imprint on your copy offers additional information
      • if so, add it; if not, leave as is
    • Profession: professional title or type e.g. bookseller, printer, but also city printer, printer of the archbishop, etc.
      • check whether the imprint on your copy offers additional information
      • if so, add it; if not, leave as is
  • click 'registreer' [register]
  • check 'Bevries/ontdooi dit record' [freeze/unfreeze this record] and, again, click on 'registreer' [register]

Authority records for printers are, unlike all the other authority records (personal author, corporate author, geographical code), NOT shared with Anet or any other group within Brocade. STCV has its own set of authority records for printers. They are marked clearly by the STCV-turtle-logo. This means you may only use those records marked as belonging to STCV! If you cannot find an STCV-authority record for a printer but you do find a printer's authority record marked Anet, you may NOT use this. Instead, a separate record for that printer needs to be created for use in STCV. When in doubt, please get in touch.

Place[edit | edit source]

Using an existing authority record

  • Find the place name you need in the geographical authority records, click on the specific record and select 'bewerk' [edit]
  • Under 'Relaties' [Relations]: leave everything as is
  • Main form:
  • Reference terms:
    • leave as is
    • select the one you need
    • create a new one if needed (follow the transcription rules + enter 'STCV' for lidmaatschap [membership])
  • click 'registreer' [register]
  • check 'Bevries/ontdooi dit record' [freeze/unfreeze this record] and, again, click on 'registreer' [register]

Year of publication[edit | edit source]

In Brocade, each year of publication has its own set. Each 'imprint' field contains two sets, so two year may be entered. Usually, only the first set is used, indicated by 'Year[1]'. The second set, indicated by 'Year[2]' is only used when parts of a multi-volume work are printed in different years. Each set contains three fields:

  • first field: type of dating
  • second field: sorting year used by the system
  • third field: room for nuance

The first two fields always need to be used. If the third is left blank, the system will present the contents of the second field in the form indicated in the first field. If the third field is used, the system will only show the information given here, regardless of the type chosen in the first field.

First field: 'type'

The type of dating always needs to be determined. The standard and most common type is 'YYYY'. The type determines how a year is shown to the user: in the place of the Y-characters the number of the year entered into the 'sort by' field are shown, unless the 'also show' field contains data.

Second field: 'sort by'

The field 'sort by' always needs to contain four Arabic numerals. The system sorts the bibliographical descriptions according to the year defined here, regardless of what is entered into the 'also show' field. In the case of uncertain or vague dates, sorting always needs to be done by the earliest possible year.

Third field: 'also show'

The field 'also show' can be completed if the description needs to show a different date than is determined in the 'sort by' field. The field can also clarify an incorrect, strange or doubtful date. This makes it possible to present a different date in the description than the one used for sorting. This is important for incorrect dates in the imprint, impossible numbers or dates in different calendars.

Example

type YYYY; sort by 1623 The system shows '1623'

type [YYYY-]; sort by 1690 The system shows '[1690-]'

type (col.YYYY); sort by 1645; also show '[1673]'

The system shows '[1673]'

The 'also show' field, is a free text field. This is why it is important to pay attention to the correct use of parentheses and square brackets in this field. External dates are always placed between square brackets [], dates derived from the document itself are placed between parentheses ().

Some nuances cannot be entered into the system. Dates such as 'late 17th, early 18th century' en '1657,1655' (for a multi-volume work where the second part appeared first) need to be noted as '16--' and '1657-1655'.

The year of publication and the connection with the year-and-format code

Only years from the title page are used for the year and format code. As discussed in the section on titles, the (collective) typographical title page is preferred above engraved title pages. It is this page, too, which forms the basis for the year-and-format code. In other words, if this page does not contain a year of publication in the imprint, the year-and-format code will show '0000'. This is also true for other dates on the basis of the document or from external sources. Clear mistakes are not corrected.

Examples

1654 1654 year on title page is noted

For all details about the year and format code, see the section on the bibliographical fingerprint.

Collatie[edit | edit source]

It is possible to create as many collation fields as necessary by entering a number next to the bold 'Collatie' and then clicking on 'Extra collatie'. Unused collation fields will be removed again after saving the description. The order of the different collation fields may be changed by using the numerical field next to the italic 'Collatie'.

In the field 'type', the standard value is always 'normal'. This may be changed to 'oblong'. This field always has a value.

The field 'pagination'

The 'pagination'-field is a free text field where information needs to be entered manually. It can accommodate lengthy paginations. In specific cases, this field may be left blank.

Paginering moet eindigen met ‘p.’, ‘f.’ of ‘columns’.

The field 'bibliographical format'

The field 'Bibliographical format' can contain a value (by selecting it from the list) or may be left blank. The latter happens in the description of multi-volume works, or when a correct format cannot be determined.

The field 'quire structure'

The field for the quire structure is a free-text field and is -unless in exceptional cases- always filled in.

For some common special characters and the lay-out of text as superscript, the following codes need to be used:

or or { start the superscript
or or } end the superscript
«pi» or «03C0» π
«chi» or «03C7» χ

Annotatie(s)[edit | edit source]

X recto’, ‘Date derived from f. X recto’.

For each new note a new 'note block' is created. This is done by entering a number in the numerical field after the bold title 'Annotatie(s)' [Annotation(s)] and then clicking the button 'Extra nootveld' [Extra note field]. The order of the different fields may be changed by altering the numbers in the numerical field after the bold 'Noot' [Note]. The notes are, as much as possible, ordered as follows:

  1. All bibliographical references
  2. All general notes
  3. All price quotation note
  4. All notes of the type 'with'
  5. The sheet count note

The 'note block' consists of two fields. The numerical field is the 'sorting field'. It is followed by the actual 'note field'. If the note field remains empty, the entire 'note block' is deleted by the system upon saving the bibliographical description.

The field 'Noot' [Note][edit | edit source]

In this free text field, the actual note itself is entered. For a bibliographical reference, the code of this reference needs to be entered between two square brackets followed by a space. In the presentation, the system converts the code into a short title reference.

Example [[backer]] V, 234, nr. 15

The field 'Type'[edit | edit source]

This field defines the type of note. The available types can be looked up by clocking the 'Zoek' [Search] button. The field to the right of this button contains the 'favorites', the last selected types used by the cataloguer. Only five types are used in STCV: 'alg', , 'price', 'br', 'wi' and 'sheet'. For each new note field, the type 'br' is offered as a standard by the system.

The field 'Taal' [Language][edit | edit source]

The standard for the language field is always 'Universele taal' [Universal language]. All notes generated in STCV need this language indication. In theory, the field never needs to be changed.

Vingerafdruk[edit | edit source]

For each new bibliographical number (= each new fingerprint) or variant, a new 'bibliographical number'-field needs to be generated. You can do this by typing a number in the numerical field next to the text 'Bibliografische nummers' [bibliographical numbers] in bold and then clicking on the button 'extra nummerveld' [extra number field]. The order of these fields can be changed by altering the numbers in the numerical field besides each italic word 'nummer' [number]. This is a field for sorting and should not be confused with the actual 'bibliographical number'-field.

THE FIELD 'NUMBER'

This is the field where the actual fingerprint is entered according to the protocol described earlier. Exotic symbols are not always recognised by the browser and need to be avoided where possible. The most common symbols (e.g. pied-de-mouche) are represented by a different sign in a standardised manner and explained in the notes. Rare and hard to display symbols may be replaced by an arbitrary character. Here, too, an explanation in the notes (cataloguing remarks and general notes) is necessary. If the field is left empty, this will be removed by the system upon saving the bibliographical description.

2 THE FIELD 'TYPE'

The type of bibliographical number can be indicated in this field by selecting it with the mouse. For STCV, just one type is used: 'fingerprint'. This type is already selected for STCV-records.

3 THE FIELD 'SOURCE INDICATION'

Normally, there are no further fields in this section of the description for STCV-records. Nevertheless, should a field for source-indication appear, the source needs to be defined as 'document'.

Including Links to Online Media[edit | edit source]

Using URL Types[edit | edit source]

Template:SeeAlso

In the Brocade system, links to online content can be entered using 'URL Types'. Such presets can be configured for each database or repository that offers permalinks or allows deep links to be created based on unique IDs. If an online resource is referenced more than a few times in STCV, an URL type should be created for these links. This has to be requested from the Anet help desk by a Flanders Heritage Libraries staff member.

Advantages[edit | edit source]

There are distinct advantages to using URL types over free text links:

  • If the main structure of the deep links into a database or repository changes while the unique IDs of the items referenced remains the same, all links of a type can be updated simply by changing the configuration URL type. No manual intervention is required at the record level.
  • Using URL templates removes the burden from the individual cataloguer to figure out how to create deep links to content in databases and repositories that are frequently referenced. In some cases, this is far from obvious.
  • It is often possible to create deep links to content in various manners. Using URL types, all links to a particular database follow the same structure.
  • Is is possible to search for links of a certain URL type.
Elements[edit | edit source]

A URL type consists of these main elements:

URL Type Elements
Element Description Example
Code An abbreviation which is unique within the system, used when referencing this type in STCV records dp_mpm
Name The (internal) name of the URL type, generally the database or repository to which URLs of this type refer Digital Plaform Museum Plantin-Moretus
Template The fixed structure of the permalink or deep link, substituting the unique identifier for the resource with the code <value> http://anet.ua.ac.be/digital/mpm/opacmpm/mpm/<value>
OPAC Label The default text for the link when it is displayed in the online catalogue. In STCV, this is normally overridden by a more specific description of the resource Electronically available via the digital platform of Museum Plantin Moretus

Verander hier niks.

Onderwerpen[edit | edit source]

You can add as many keywords as needed, keeping in mind the general aim of the publication.

Keywords are added by entering the codes in the 'subject'-field. Multiple keywords may be added in one go. In that case, they need to be separated by a semicolon or entered on separate lines in the field.

Each work receives at least one of the codes t200, t210 and t220. The use of the code t220 excludes the other two codes.

Plaatsing[edit | edit source]

When more than one type of annotation is required, each element needs to start on a new line by placing the HTML-code '<br>' immediately after the first element. The next remark is started immediately after this code.

Both one folio and multiple folios may be indicated by the abbreviation 'f.'. Two conjugate folios may be entered as 'f. A1.8', a series of folios (whether conjugate or not) as 'f. A6-9'.

When speaking of gatherings, it is not necessary to always mention the number of leaves. For missing gatherings, this could be useful, for example when it concerns gatherings from the prelims. This way, the user may judge whether this lack is relevant to them or not. ·

<INC> lacks f. A4 (= het huidige exemplaar mist folios of katernen)
<BM> f. L2 is bound before f.
<INC> lacks gathering Q<br><BM> f. B5.8 and B6.7 are bound incorrectly after f. B11
<INC> lacks <<pi>>1 (engraved title page)<br><BM> f. A6.7 bound incorrectly before f. A5.8

Fully coloured by hand
